Create extensions easily

800PBX’s online panel allows you to create extensions. The activation is instant and your callers can reach the newly created extension in no time.

Setting up an extension is a three step process.

I . Extension Details

Enter the contact details (first name, last name) of the party receiving calls on this extension. This information will be automatically used for Dial-by-name.

The numeric password will be used for checking voicemail, configuring voicemail and extension login. Extension login gives freedom for each user to configure his or her rules directly without the intervention of the administrator.

New voicemails are notified by email and optionally through SMS. Enter the email address and/or phone number where you wish to be notified of your new voicemails. You can even provide a pager address.

II. Rules

Incoming call to each extension can be handled differently. You can select a rule or a list of rules for your extension. Each rule is executed in the order of the priority selected on this page.

The different available options are

a. Voicemail - The users are allowed to leave their voicemail for this extension. Please note that this should be the last rule as the call is disconnected after executing this rule.

b. Follow Me - You can desginate the list of numbers where the call should be redirected using follow me rule. If you are not familiar about follow me, you can read more about it here.

c. Call Hunt - Similar to follow me, you can designate the list of numbers for call hunt. Please note that this rule is not recommended if you are trying to forward your calls to your cell phone as it might connect to the voicemail of the carrier. You can read more about call-hunt here.

d. Announcement - This rule plays the greeting you have selected. It can be used to advertise about your product, inform users about your office timings and location or to let the caller know that the call is being recorded.

Adding rule is simple. Select the rule from the drop down and enter the details prompted. You can prioritize the rules by using the up and down buttons next to each rule. Please note that we recommend voicemail as the last rule.

You can configure rules in many ways to achieve the following.

i. Create informational only boxes such as driving directions, office timings etc.
ii. Forward calls followed by an option for user to leave voicemail
iii. Play informational (commercial) message, forward calls and then followed by an option for user to leave voicemail
iv. Play message and followed my voicemail etc.

III. Misc Options.

MOH: You can select the music which has to be played for this extension while the call is being forwarded using call-hunt and follow-me feature. We suggest you upload custom music-on-hold message so that the callers hear about your products and alternate mediums to contact you while on hold.

Call recording helps for training associates and archiving purposes. You can record calls by selecting this “Call Record” option. All the call records are available on the main extension screen under call records.
Your newly created extension is now ready for accepting calls.
