Toll-free Voicemail

What is Voicemail?

Voice mail, often known as vmail or VMS, and sometimes called messagebank, is a telephone message management system usually deployed in such places where large volume of messages are received for large group of people. The voicemails received are typically stored in hard disks, which is usually used in a computer system to store data. The stored messages are the form of digitized human voice data, similar to digitized music stored on CDs. If you should want to retrieve your messages left by customers, you just need to log on to the system, using your designated user-name and password, and you can immediately get access to that area where your messages have been stored. The messages are then transferred to your telephone system. Voice mail can be accessed simultaneously by multiple users in your organization to retrieve their individual messages.

In its very basic form, a voicemail system would consist of a handset for the user, and a centralized computer system instead of the telephone connected to individual systems.

How did the need arise?

Cost of telephone calls dropped substantially during the years 1970 and early 1980's. With this change, organizations started to use more telephones to conduct their business. Since that time, business communications are done on phone. The organizations grew in time and labor costs started to be increase. There were fewer secretaries employed, and most of the business communication started to be done on phone. Gradually it was observed that one in four telephone calls came out to be effective. Either the called persons were not on his desk, or they were on the phone, or the time difference between the countries hindered any meaningful conversation. That is when Voicemail system was thought of.

Typical features of Voicemail:

Voicemail provides you with some exciting features in your incoming call attendance and answering. These include -  

  • Answering several phone calls simultaneously.
  • Voice messages are stored in particular areas of the storage system, dedicated to the user's telephone number or extension.
  • Allows transfer of the received messages to other voice mailboxes.
  • Enables you to send messages to one and multiple mailboxes.
  • Allows you to store your messages for delivery in the future.
  • Notifies you on your telephone that a message has arrived in your mailbox.
  • Transfers the caller to another phone number for any assistance that caller might need.

Voicemails can be checked in three different ways

Phone

You can also retrieve your messages over the phone. Call your toll-free number and dial ‘*’ + extension number. Enter the password for the desired extension number. Once the password is validated, you will be able to listen to your voicemails. Password is same as what was chosen while creating the extension.

Email

You can also get your voicemails delivered to your email inbox as an attachment.

Intelligent Voicemail

At 800PBX, the intelligent voicemail, other known as questionnaire feature, can prompt your incoming callers with a series of questions. The response to each question is then saved and available for your reference in the control panel.
